Job Summary
The Administrative Manager is responsible for managing the company's administration and supporting the Sales & Marketing team. This role ensures that daily office operations run smoothly, provides administrative support to senior management, coordinates with different departments, manages office facilities and purchasing, and helps improve overall business efficiency.
Key Responsibilities
1. Sales Administration & Data Management
* Maintain accurate client records in both physical and digital filing systems.
* Track client payments and follow up when necessary.
* Prepare agency commission invoices and coordinate commission payments.
* Coordinate with lawyers and the Sales Manager to prepare and send contracts and official letters.
* Monitor and respond to the Sales Department email inbox.
* Update agency information and prepare sales reports.
* Prepare reports requested by the Director of Sales & Marketing.
2. Sales & Marketing Support
* Manage the calendar and appointments for the Director of Sales & Marketing.
* Arrange client gifts and promotional items.
* Purchase marketing materials and office supplies when required.
* Organize airport fast-track services and transportation for clients.
* Coordinate business trips for the Sales Team, including travel arrangements and expense documents.
* Support sales events, exhibitions, and marketing activities.
* Assist the Sales and Marketing team with daily administrative tasks.
* Ensure the Sales Office is clean, organized, and fully operational.
3. Executive Support
* Provide administrative support to senior management.
* Manage calendars, meetings, and appointments.
* Schedule interviews and assist with recruitment coordination.
* Prepare meeting invitations and online meeting links.
